What we collect
Contact forms collect your name, email address and the message you choose to send. The production idea form also accepts links and supporting files. We receive the information you provide in emails and applications, including relevant experience and contact details. Please share only material you have permission to share and avoid sensitive personal information unless we have agreed a suitable way to receive it.
Hosting and security services process technical information such as IP addresses, browser details, page requests and timestamps. Cookie tools store preference records. Providing enquiry or application details is voluntary, but we cannot respond without suitable contact information.
Why we use it and our lawful bases
We use enquiries and production submissions to respond, assess potential collaborations and manage relevant follow-up. We rely on our legitimate interests in running our business and considering suitable projects. Where you ask us to take steps towards a contract with you, we rely on those pre-contractual steps.
We use application information to consider your suitability and communicate about work, relying on our legitimate interests in recruiting suitable people and, where applicable, steps towards a contract. We use security logs to protect the website under our legitimate interests in preventing misuse. Records required by law are processed to meet those obligations. We use Google Analytics only with your consent to performance cookies to understand website use. You can withdraw this consent using Cookie settings in the footer.
An enquiry does not subscribe you to marketing. We do not make decisions with legal or similarly significant effects based solely on automated processing.
Who receives information
Access is limited to people who need it to handle the enquiry, project or recruitment process, and service providers supporting that work. Formspree receives and stores form submissions and attachments and sends notifications to our business inbox. Google Workspace handles our business email. Vercel hosts the website and processes delivery and security information. Sanity serves published website content and manages authorised editors; visitor enquiries are not published into the CMS. CookieScript handles cookie preferences. If you accept performance cookies, Google Analytics receives website usage events and technical information, such as pages visited, browser/device information and cookie identifiers. We disable Google Signals and advertising personalisation in the website tag. See https://policies.google.com/privacy for Google's privacy information. Google Fonts serves display fonts and receives connection information such as your IP address.
We may share relevant information with professional advisers or authorities where needed for legal obligations or claims. We do not sell your personal information.
Processing outside the UK
Our providers operate internationally, including in the United States, so information may be processed outside the UK. International transfers require an applicable UK adequacy arrangement or other lawful safeguards, such as approved contractual terms with the UK addendum where needed. Formspree describes its use of Standard Contractual Clauses at https://formspree.io/security/. You can contact hello@nicheproductions.co.uk for information about the safeguards applicable to your information or how to obtain a copy.
How long information is kept
We decide retention according to the purpose of the record, whether a conversation or recruitment process is still active, the need to follow up an opportunity you asked us to consider, and any contractual, accounting or legal obligations or claims. We do not keep an unsuccessful enquiry or application indefinitely just because it was submitted. If we wish to retain an application for a separate future opportunity, we will explain that purpose and the relevant retention arrangements.
Information leading to an engagement may become part of that engagement’s records. Copies can exist in Formspree, the business inbox and relevant working files, so deletion requests must be considered across those locations. Technical logs and preference records have provider-specific settings. Contact us for the retention information relevant to your enquiry or to request deletion.
Your right to object
You can object to processing based on legitimate interests, including keeping your details for prospective work. Contact hello@nicheproductions.co.uk and explain the circumstances. We will consider your request under the applicable data protection rules.
Your other rights
Depending on the circumstances, you can request access, correction, deletion, restriction of processing and a portable copy of information you supplied. We may need information to confirm your identity. Rights are subject to the applicable conditions and exceptions.
